My Application

In these Submission Terms & Conditions, “SXSW London” means SXSW London Limited (registered in England and Wales with company number 16034054), whose registered office is at Second Floor, 67-71 Shoreditch High Street, London E1 6JJ, together with its group companies, and “I”, “me”, “my” and “Applicant” mean the person submitting this application, which is also what “you” and “your” mean where those words are used. 

  • I confirm I have carefully read and understood the SXSW London Terms of Use and SXSW London Privacy Policy. 

  • In addition to the above policies, I shall comply and shall procure that any person(s) participating in my Materials (as defined below) and application shall comply with any applicable (i) participation and credential terms and conditions and (ii) Code of Conduct notified to me from time to time. 

  • I confirm I have carefully read and understood the Submission Guidelines including the eligibility criteria, entry deadlines and roles & responsibilities, and I agree to those application terms. 

I acknowledge that: 

  • Entering this application does not guarantee my selection to participate in SXSW London 2027 (even where an application fee is payable (unless otherwise stated)). 

  • SXSW London will only review and consider applications submitted by the deadline for inclusion in SXSW London 2027. 

  • SXSW London’s selection decisions are based on the criteria set forth in your application and these Submission Terms & Conditions. 

  • Final decisions are made in SXSW London’s sole discretion. SXSW London is under no obligation to provide feedback to applicants. 

  • SXSW London shall not reimburse any travel, hotel or other costs or expenses incurred by you in connection with your submission or, if you are successful, your participation in SXSW London 2027. 

  • If I am selected to participate in SXSW London 2027, and upon request by SXSW London, I agree to make available myself and any person(s) who are featured as part of the Materials to participate in any media opportunities and consider any other activities at SXSW London 2027. I also agree to promote my Material as part of the SXSW London 2027 programme. 

  • I will not announce or publicise my selection to participate in SXSW London 2027 before SXSW London has authorised me to do so, and I will not include any third-party branding, sponsorship or advertising in my Materials or in my participation in SXSW London 2027 without SXSW London’s prior written approval. 

  • I understand that I have the right to withdraw my submission at any time (prior to the end of any relevant submission deadline or unless otherwise agreed with SXSW London) and may do so by contacting the relevant email address supplied in the Submission Guidelines. 

  • I understand that if I am selected to continue further in the selection process for SXSW London and/or participate in SXSW London, then prior to and as a condition for my participation in SXSW London 2027, I understand and agree that I will be required to sign a separate Participant Agreement with SXSW London (“Participant Agreement”). 

  • I understand that SXSW London shall have the right to request reasonable editorial amendments to my Materials and to request a substitute speaker or speakers if necessary. I agree to use my best endeavours to comply with such requests. If I do not comply with such a request, SXSW London may remove my Materials from the SXSW London 2027 programme without liability to me. 

Warranties & Representations 

  • SXSW London will treat my submission information as confidential (with the exception of the public vote information, as outlined in the application, any disclosure to its group companies, professional advisers, judges, programming partners, media partners and contractors for the purposes of assessing and administering applications and delivering SXSW London 2027, any disclosure required by law or by any regulatory or governmental authority, any information which is or becomes public other than through SXSW London’s breach of this paragraph, and any use of the Materials permitted by section 3 below) but I understand and agree that: 

  1. I am responsible for protecting my intellectual property rights; and 

  2. Sharing proprietary information on the internet carries inherent risks, including piracy, and I assume those risks unless they are the result of SXSW London’s wilful misconduct. 

  • I represent and warrant that the information I provided in this application is accurate. 

  • I am aged 18 or over. 

  • I have the rights, consents and licences necessary to enter this application and to grant the rights granted in section 3.  

  • All aspects of the work underlying this application (“Materials”) are my own or are used with the permission of the relevant rights holder and do not infringe on the rights of any third party or otherwise breach any law.  

  • I have obtained from every person appearing or participating in the Materials (and, where that person is under 18, from their parent or guardian) all consents, releases and waivers necessary for SXSW London to exercise the rights granted in section 3, including a waiver of moral rights on the same terms as my own waiver in that section, and I will provide evidence of those consents in a form reasonably required by SXSW London on request. I am responsible for the acts and omissions of those persons as if they were my own. 

  • Where the Materials contain any third party content (including music, sound recordings, film or video footage, photographs, artwork, trademarks or logos), I have identified that content in my application and have obtained all rights, consents, licences and clearances necessary for SXSW London to use it for the purposes and on the terms set out in section 3, including any clearance required from a collecting society. If I have not, SXSW London may remove or edit the Materials without liability to me. 

  • My application and Materials do not breach any agreement(s) or understanding by which I’m bound, including nor would my participation in SXSW London 2027 breach any such agreement(s). 

  • I will not enter into any agreements or understandings with any person or entity that might conflict with my warranties and representations made in these Submission Terms & Conditions. 

  • I indemnify, defend, and hold harmless SXSW London, its parents, subsidiaries, owners, and affiliates, license holders and each of their respective officers, directors, agents, and employees (together, the “SXSW Indemnified Parties”) from any and all responsibility or liability, losses, damages, costs and expenses (including reasonable legal fees) arising out of or in connection with my breach of these Submission Terms & Conditions and/or any guidelines, policies and terms provided by SXSW London, and/or any claim by a third party arising out of or in connection with the Materials or my conduct at SXSW London 2027. 

  • I agree to use this platform in accordance with the SXSW London Terms of Use and any Code of Conduct notified to me from time to time. 

Use of My Likeness & SXSW London Marks 

  • I grant SXSW London a worldwide, non-exclusive, irrevocable, royalty-free, perpetual, sub-licensable and transferable licence to use, copy, reproduce, edit, adapt, store, broadcast, transmit, distribute, publicly perform and make available the Materials provided by me as part of the SXSW London 2027 programme, including in marketing and publicity materials, and, whether or not my application is accepted, to use, copy, store and display the Materials for the purposes of assessing and administering my application and any public vote. 

  • To the extent permitted by law, I waive, and agree not to assert, all moral rights in the Materials arising under Chapter IV of the Copyright, Designs and Patents Act 1988 or any equivalent rights arising under the law of any other jurisdiction. 

  • I agree and consent that SXSW London may perpetually use, sublicense, publish, distribute, reproduce and publicly perform content embodying my name, voice, likeness, image, biographical information, statements, Materials and other identifying materials, if such content is provided by me or if I’m selected to participate in SXSW London 2027, in recordings captured during my participation in SXSW London 2027 (collectively, “My Likeness”) in any medium now known or created in the future (collectively, the “SXSW London Materials”) to promote SXSW London. 

I understand and agree that: 

  • There will be no financial or other monetary compensation payable to me for SXSW London’s (or any such sublicensee’s) use of My Likeness in the SXSW London Materials; 

  • SXSW London shall have the right to edit, rearrange, vary, change, alter, modify, and delete My Likeness in the SXSW London Materials provided that no such edit materially misrepresents me;  

  • If applicable, I will ensure any restrictions that relate to the use of my Materials are included within my application to SXSW London, and no such restriction binds SXSW London unless it is expressly accepted by SXSW London in writing; 

  • No promotions or other material incorporating My Likeness need be submitted to me for any further approval and SXSW London will not be liable to me for any use of My Likeness; and 

  • SXSW London will be the exclusive owner of all right, title and interest, including copyright, in the SXSW London Materials. 

  • SXSW London is the owner or licensee of all rights, titles and interest in and to the trademarks SXSW LONDON, SOUTH BY SOUTHWEST LONDON, along with other trademarks, and the corresponding logos, social media images, or other materials provided to you by SXSW London (collectively, the “SXSW London Marks”). SXSW London grants you a non-transferable, non-sublicensable, limited, non-exclusive, royalty-free, revocable licence (the “Licence”) to use, reproduce, and display the SXSW London Marks until 31 December 2027, or, if earlier, the date on which your application is withdrawn or rejected or your participation in SXSW London 2027 is terminated (the “Term”) to promote your Materials, solely as follows: (a) in hashtags as follows #SXSWLONDON; and (b) with SXSW London’s prior written approval, on electronic flyers and digital marketing materials (collectively, the “Licensed Activities”).  

  • Any additional use of the SXSW London Marks, including in hashtags, requires SXSW London’s prior written approval. You agree to comply with any instructions provided by SXSW London, including, but not limited to, the SXSW London Submission Guidelines (as applicable), regarding your use or removal of the SXSW London Marks to ensure that the Licensed Activities, and any other approved use of the SXSW London Marks, are of a level of quality required by SXSW London. All use of the SXSW London Marks and all goodwill will belong to SXSW London. All rights not licensed or granted to you are explicitly reserved by SXSW London. On expiry or termination of the Licence, or on SXSW London’s request, you will immediately cease all use of the SXSW London Marks and remove them from all materials within your control. You will not challenge SXSW London’s rights in the SXSW London Marks, register or apply to register any mark or domain name which is identical or confusingly similar to them, or use them in any way which suggests an association, endorsement or partnership which has not been agreed in writing.  

  • The personal data I have supplied in this application in order for SXSW to review my materials and communicate with me about my application, will be processed in accordance with the SXSW London Privacy Policy. 

  • Where my application contains personal data relating to any other person, I confirm that I am entitled to provide it to SXSW London and that I have given that person the information required by applicable data protection law about SXSW London’s use of it. 

General 

I acknowledge and agree that in order to improve the SXSW London experience or due to causes outside of the control of SXSW London, SXSW London reserves the right to: 

  • Modify the dates, locations or method of participating in SXSW London 2027 and/or SXSW London 2027 events; and/or   

  • Cancel, modify or suspend applications for SXSW London 2027, whether accepted or not. I agree that SXSW London may notify me of any of these modifications by email to the address supplied in my application or by posting a notice on its website. 

Further to the above, I acknowledge that SXSW London may immediately terminate my participation (as well as the participation of other person(s) included within or associated with the Materials) and/or the inclusion of the Materials within the SXSW London 2027 programme, if I (or the other person(s) included within or associated with the Materials) engage in any act or behaviour (actual or alleged) that brings, or in SXSW London’s reasonable opinion would bring, themselves, SXSW London or any other aspect of SXSW London 2027 into disrepute. Termination under this paragraph does not affect the licences, consents and waivers granted in section 3, which continue in full force, and SXSW London is under no obligation to remove or recall any material already published.  

I acknowledge and agree that if the dates, locations or methods of participating in SXSW London 2027 and its events are changed; or my application is denied, cancelled, or suspended, regardless of the reason, I will have no remedy against SXSW London, at law or in equity or otherwise. Nothing in these Submission Terms & Conditions limits or excludes SXSW London’s liability for death or personal injury caused by its negligence, for fraud or fraudulent misrepresentation, or for any other liability which cannot lawfully be limited or excluded. Subject to that, SXSW London is not liable to me for any loss of profit, loss of opportunity, loss of goodwill or any indirect or consequential loss, and SXSW London’s total liability to me in connection with these Submission Terms & Conditions and my application is limited to the amount of any application fee paid by me or, where no application fee is payable, £100. These Submission Terms & Conditions will be interpreted in accordance with and governed by the laws of England and Wales and the parties agree to submit to the exclusive jurisdiction of the courts of England and Wales. 

Save that each of the SXSW Indemnified Parties may enforce the indemnity given in section 2, a person who is not a party to these Submission Terms & Conditions has no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any of its terms. SXSW London may assign, transfer or novate its rights and obligations under these Submission Terms & Conditions to any of its group companies or to any person acquiring all or part of the SXSW London business; I may not do so without SXSW London’s prior written consent. If there is any conflict between these Submission Terms & Conditions and the Submission Guidelines, the Terms of Use or any Code of Conduct, these Submission Terms & Conditions prevail; if I am selected and enter into a Participant Agreement, the Participant Agreement prevails over these Submission Terms & Conditions to the extent of any conflict. 

  • Applicant acknowledges and agrees that Applicant has read and understands these Submission Terms & Conditions and intends to be legally bound by its terms. 

  • Applicant acknowledges that the information contained in this application is accurate, that they have the rights necessary to share the materials contained herein and that the application will not infringe any third-party rights or breach any laws of any kind. 

  • By clicking the box below or by using any other electronic mechanism presented to signify acceptance of these Submission Terms & Conditions, Applicant agrees to and accepts these Submission Terms & Conditions. SXSW London’s record of that acceptance is conclusive evidence of it in the absence of manifest error.
